The Screening Unit is developing a new organisation portal. The system will go live in June 2026.
This will affect your organisation’s screening data and access. Learn about the new system and how to be ready for the move.
How we’re moving accounts from the current system to the new one
If your organisation is actively using the portal to manage any of the following checks, we’ll move your account into the new system for you:
- Working with Children Checks
- NDIS Worker Checks
- Aged Care Sector Employment Checks.
Organisations that will be moved to the new system will get emails from the Screening Unit, including instructions for accessing the new portal.
Before the move
Login to your current organisation portal and make sure you have at least one active site administrator with access to the email linked to their user profile.
Who won't be moved to new system
Organisations will not be moved to the new system if they:
- are not actively using the portal
- have no current Working with Children Check registrations of interest
- are not using the portal to start applications for volunteers and employees.
If your account is not moved to the new system, you'll be able to create a new one once the new system goes live.
What you told us - survey results
Last year we invited registered organisations to share feedback about how we could improve the Screening Organisation Portal. We heard that the current portal is:
- hard to use
- full of confusing language
- difficult to track applications
- not helpful for managing expiring checks.
We’ve listened and are introducing a range of new features.
What's new and different
The new portal will be easier to use, with clearer instructions to guide you.
Updated user roles
Site Administrators will be able to set communication and notification preferences.
The Verifying Officer role will be removed.
- Organisations will no longer verify identity in the portal.
- There will be improved identity verification options for volunteers and employees in a new individual portal.
- Current Verifying Officers will become Requesting Officers.
28-day application rule
In the new system applications must be submitted within 28 days of being started. This helps keep your portal up to date and removes old or incomplete applications.
Fee required for each screening
Each screening check will require its own application and fee.
You can still request more than one check at the same time. A separate application and fee will apply for each check.
Simple upgrades
You'll be able to initiate an upgrade from a Volunteer to a Paid Employment check, simply by paying the fee. No need to start a whole new check, and the upgrade will apply instantly.
Payment options
If your organisation pays by credit card you must pay when the application is started.
You can also:
- apply to be invoiced
- choose for the applicant to pay.
New reporting and bulk options
You will be able to:
- view and download reports in the portal
- export the data you need
- start multiple checks at once.
This helps save time, especially for larger organisations.
NDIS Worker Checks
You’ll be able to initiate NDIS Worker Check applications for your employees and volunteers.
Child Safe Environment Compliance Statement
You'll be able to:
- submit a Child Safe Environment Compliance Statement via your portal
- update your statement via your portal.
New rules for sole traders
Sole traders who work with children need to:
- set up an organisation portal
- register an interest in their own Working with Children Check.
Incomplete applications
If you’ve paid for an employee application and it hasn’t been completed:
- it will move to the new system if it's less than 5 months old
- it will be available for 28 days after the move
- after 28 days, it will be cancelled and fees are non-refundable.
We’ll confirm the exact date range closer to the move.
What you should do
- check any incomplete applications
- follow up with employees to complete them as soon as possible.
Volunteer applications
Incomplete volunteer applications will not be moved to the new system.
Volunteer applications not submitted before the new system goes live will need to be restarted.
Current screening services
You can continue to start new applications for your employees and volunteers.
You must use a personal unique email address for each person you start an application for. This will ensure that screening check holders will be able to access their personal screening account when the new screening system goes live.
There will be no impact on your staff or volunteers’ existing checks or continuous monitoring. Screening services will continue to operate as normal while we make these improvements.
