Induction
It is a good idea to have a formal induction program in place. After introducing the new staff member to their colleagues and workplace, there is some paperwork to complete:
- If your new staff member does not have a tax file number, they can get one by completing a tax declaration form from the Australian Taxation Office (ATO) or from their local post office.
- Also check with the ATO about information on deductions, tax credits, income statements and reports.
- Provide a time book or time card to calculate pay and tax deductions.
- Keep a confidential employee file to record important personal information such as family phone numbers. (Employees have a right to see their personal file.)
- Sign a training contract if the new employee is an apprentice or trainee.

Paying a new employee
- Check the appropriate pay rate for the job and the employee's qualifications on the Fair Work Australia website.
- Provide a payslip recording gross and net pay and all deductions, including any union fees - SA Unions can advise on union membership.
- Make sure the employee signs for each pay in a time book or record sheet.
- Record all absences and calculate leave loading and overtime.
Good stationers supply bookkeeping materials and payroll software.

Insurance and superannuation
Employers also must insure their employees against industrial accidents and injury through
WorkCoverSA. A premium is paid according to the employee's gross salary.
You must also make payments to an approved superannuation fund at the legislated rate. Check
employers superannuation essentials on the ATO website or call the ATO's Superannuation Guarantee Help Line – 13 10 20 - for information about your superannuation obligations.
